5. Legal bases (for attendees in the EU, UK, and Switzerland)

We rely on:

  • Contract: processing your registration, taking payment, and delivering the event you paid for

  • Consent: photo booth images, including their use by sponsors, AI photo booth experiences, marketing emails, and non-essential cookies. You can withdraw consent at any time.

  • Legitimate interests: general event photography and videography, security, and marketing our own events to past attendees, balanced against your rights

  • Legal obligation: tax, accounting, and record-keeping requirements

6. Photography, video, and AI photo booths

This section matters more at Illuminate than at most conferences, so we set it out in full.

General photography and video. Illuminate is a photographed and filmed event, and signage at the entrance and throughout the venue says so. A roaming photographer and video team work across all four days. By attending, you understand that your image may be captured in photos and video that we use to market Illuminate and our affiliated brands across our websites, social channels, email, sales pages, and sponsor recap materials, worldwide and without a time limit.

If you prefer not to appear in general event coverage, tell us at getlit@illuminatecreative.live before the event or ask any staff member on site. We will note your preference, give you a marker on your badge or lanyard, and instruct our photography team accordingly. Candid crowd shots at a live event are not perfect, so if you spot yourself in something you would rather we did not use, email us and we will remove it.

Photo booths. Illuminate includes branded photo booth experiences, most of them sponsored. Using a booth is voluntary. When you step in and press start, you are choosing to have your picture taken, and you are agreeing that the resulting images may be used for marketing.

Booth images are shared back to you, and they are also used by us and by the sponsor of that booth to promote the event, the sponsor's brand, and future Illuminate conferences. That includes social posts, websites, ads, email, sales pages, and printed material, worldwide and without a time limit. You will not be paid for this use.

Every booth carries a notice about how the images are used, and signage is posted throughout the venue. Before you take your pictures, you accept an on-screen consent that covers use by Illuminate, our affiliated brands, and our event sponsors. If you do not want your picture in that marketing, skip the booths. Nothing else about your Illuminate experience depends on it.

AI photo booth experiences. Some booths use software that analyzes your facial image to generate a stylized or themed picture of you. Read this before you use one:

  • The image is processed to create your picture. We do not use it to identify you, match you against any database, build a face template for future recognition, or track you across events.

  • The finished picture may be used in our marketing and in the booth sponsor's marketing, the same as any other booth image. The underlying facial data used to generate it is not given to sponsors and is not sold.

  • Processing happens through our AI booth technology providers, who act on our instructions and are contractually restricted from using your image for their own purposes, including training their own models, unless you separately agree.

  • Source facial images used for generation are kept as part of our records, along with the finished picture you receive. You can ask us to delete them at any time.

  • Using an AI booth is optional and requires your consent at the booth. Skip it and you lose nothing else about the Illuminate experience.

If you are a resident of Illinois, Texas, Washington, or another jurisdiction with a biometric privacy law, this section, together with the consent screen at the booth, is our notice of collection. You may withdraw your consent and ask us to delete your images by emailing getlit@illuminatecreative.live.

Session recordings. Sessions are recorded and transcribed. If you ask a question from the floor or speak on a panel, your voice, image, and comments become part of that recording and may appear in replays, course material, and promotional clips. If you want to raise something you would rather keep off the record, come find a member of the Illuminate team during a break instead.

7. Who we share it with

Service providers. We use third parties to run the event and our business: payment processing, registration and email platforms, customer relationship and project management software, AI transcription, cloud storage, AI photo booth technology, and event production partners. They may access your information only to do work for us and are bound by contract to protect it. Current providers are listed at [PROVIDER LIST URL or "available on request"].

Sponsors. Sponsors receive two things.

First, aggregated and anonymized event data: attendance numbers, audience composition by business size and region, and engagement figures.

Second, event content that shows attendees, including photo booth images, photographs, and video from their sponsored activation. Sponsors may use that content in their own marketing. Sponsors receive the images themselves, not your name, email, phone number, or business details, and we do not give sponsors an attendee list. If a sponsor wants to contact you directly, that requires your separate opt-in, given knowingly at the time.

Affiliated brands. CLM Productions LLC works with affiliated companies and brands that produce and market Illuminate. Where those companies receive your information, they handle it under this policy.

The venue and event partners. The Gale Miami and our on-site suppliers receive what they need to host you, such as room lists, catering counts, and dietary and accessibility requirements.

Legal. We disclose information where required by law, court order, or regulator, or to protect our rights, our attendees, or someone's safety.

Business transfer. If CLM is sold, merged, or reorganized, attendee information may transfer as part of that transaction, subject to this policy.

We do not sell attendee contact or business information, and we do not share your information for cross-context behavioural advertising as that term is defined under California and comparable US state privacy laws. Sponsors do receive event imagery that may show you, as described above, in exchange for their sponsorship. If you would rather not be part of that, use the opt-out in section 6 and skip the sponsored booths.

8. International transfers

CLM Productions LLC is based in Florida, and Illuminate 2026 takes place in Miami. If you live outside the United States, including in Canada, the United Kingdom, or the European Union, your information will be transferred to, stored in, and processed in the United States, and may also be handled by service providers in Canada and other countries. US privacy laws may differ from those where you live, and US authorities may be able to access information under US law.

For transfers out of the EEA, UK, or Switzerland, we rely on Standard Contractual Clauses or another approved transfer mechanism. Ask us at getlit@illuminatecreative.live for a copy of the safeguards that apply.

9. How long we keep it

We keep the information described in this policy indefinitely, unless you ask us to delete it or the law requires us to remove it sooner.

Data Retention Registration and attendee records Kept indefinitely Payment records Kept indefinitely Dietary, accessibility, and emergency contact details Kept indefinitely Marketing contact details Kept indefinitely, or until you unsubscribe or ask us to delete them Source facial images from AI booths Kept indefinitely, subject to the limits set by biometric privacy laws where you live Event photos, video, booth images, and session recordings Kept indefinitely as part of our content library Website analytics Kept indefinitely

Your right to ask for deletion applies to all of it. See section 10.

10. Your rights

Wherever you live, you can ask us to:

  • Give you a copy of the personal information we hold about you

  • Correct anything inaccurate

  • Delete your information, including your images

  • Stop sending you marketing

  • Stop or limit how we use your information

  • Provide your information in a portable format

  • Withdraw consent you previously gave

If you are in California, you may request disclosure of the categories and specific pieces of information we collected, request deletion or correction, and exercise these rights without being treated differently. You may also opt out of the disclosure of your images to sponsors by emailing getlit@illuminatecreative.live, and we will stop further use going forward. You may use an authorized agent, and we will verify the request.

If you are in another US state with a privacy law, including Virginia, Colorado, Connecticut, Texas, Florida, Oregon, and Montana, you have comparable rights of access, correction, deletion, and portability, plus the right to appeal a decision we make on your request.

If you are in Canada, you have rights under PIPEDA and, in Quebec, under Law 25. You may complain to the Office of the Privacy Commissioner of Canada at priv.gc.ca.

If you are in the EEA, UK, or Switzerland, you have these rights under GDPR and may complain to your local supervisory authority, or to the UK Information Commissioner's Office at ico.org.uk.

To exercise any of this, email getlit@illuminatecreative.live with what you want and enough detail for us to find your records. We respond within 30 days, or 45 days for requests under US state laws, and will tell you if we need longer. If we decline, we will explain why and how to appeal or complain.

11. Cookies and the website

The Illuminate website uses cookies for essential functions, analytics, and advertising measurement. On your first visit you can accept or decline non-essential cookies, and you can change your choice at any time through [COOKIE SETTINGS LINK]. Declining non-essential cookies does not affect your ability to register or attend.

We honour Global Privacy Control signals as an opt-out where state law requires it.

12. Security

We protect your information with access controls, encryption in transit, restricted staff permissions, and contracts with our providers. No system is completely secure. If a breach affects your information, we will notify you and the relevant authorities as the law requires, including within 30 days under the Florida Information Protection Act and within the timelines set by other applicable state, Canadian, and EU rules.

13. Changes

We update this policy as the event and our systems change. The date at the top shows the current version. If a change materially affects how we use your information, we will email registered attendees before it takes effect.

This draft is a starting point prepared for internal review. Have Florida counsel review it before publication, particularly sections 6, 7, and 10, and get a second read on the Canadian and EU sections if a meaningful share of attendees come from those regions.
